BIRTHDAY PARTY AVAILABILITY

PARTIES are recommended for children 1 YEAR-5 YEARS OLD. For Private Parties only, children from 13 months and older are welcome and will be added into the headcount - maximum of 25 kids). We only allow 16 kids in the party suite; parties over 16 kids will be setup in the Gallery.  

 

You are required to leave your FINAL HEAD COUNT on the TUESDAY before your party.   

Once you have given the final head count , that’s the number we are staffing for and you will be charged for that number on that day.

We offer PRIVATE PARTIES here at THE BIG PLAYHOUSE. We will open the facility for you and your guests only, this is a Private Event. A dedicated party host will greet the guests upon arrival. Your guests will enjoy open playtime in our exciting state-of-the-art indoors MINI TOWN!
If you have never visited THE BIG PLAYHOUSE, please setup an appointment to come in and do a BIRTHDAY TOUR as soon as possible. 

 

If you wish to do an Elaborate party or wish to know all Add-ons and Upgrades, please setup a Birthday Consultation to discuss everything in detail. We can also provide a pre-bill to show you how your upgrades and Add-ons will cost before agreeing to the service. This will give you the opportunity to customize your party.

OUR AVAILABILITY STATUS CHANGES EVERYDAY. On the email we would have given you dates and times of any availability. Let us know when you decide on a date and from there we can check for availability.

DEPOSIT

$350 CASH DEPOSIT IS REQUIRED (NON-REFUNDABLE DEPOSIT IS REQUIRED TO HOLD SPOT AND ALL ADMINISTRATIVE AND PREPARATION SERVICES DONE PRIOR TO PARTY). THE BIG PLAYHOUSE IS DESIGNED AND CREATED FOR CHILDREN 6 YEARS OR YOUNGER.  WE ARE NOTICING THAT OUR FAMILIES ARE BRINGING CHILDREN TO THE PARTIES THAT ARE SOMETIMES DESTRUCTIVE AND OLDER. EVERYONE ON YOUR GUEST LIST ARE WELCOME TO THE BIG PLAYHOUSE BUT WE ARE INFORMING YOU THAT YOU ARE RESPONSIBLE  FOR ANY DAMAGES THAT MAY OCCUR DURING YOUR PARTY. WE WILL NOTIFY YOU OF ALL DAMAGES AFTER THE PARTY.

WHAT TO BRING FOR YOUR PARTY - TUESDAY BEFORE YOUR PARTY BETWEEN 10AM-1PM

Please have all decorative items assembled BEFORE delivery. The items below are a list of thing you are required to bring the Tuesday before your party between 10AM- 1PM

 

***Decorative items are a birthday banner, centerpieces, ceiling hangings, please have everything assembled before drop off .(WE PROVIDE CAKE Table  BACKDROP, HAPPY BIRTHDAY BANNER AND CAKE TABLE COVERINGS AND  ACCESSORIES)

 

YOU PROVIDE:

-Goody Bags one per child

-Tableware per person (cups, plates, forks, napkins)

-Juice boxes one per child 

 

-Tablecloths – size 54” x 108”, 5 tablecloths will be perfect.

 

-Bottles of soda and/or both

-Wipes (to wipe children hands after eating) 

-Ziplocs, foil, or Saran Wrap (to pack up extra food) 

*Please bring extra socks in case your guests forgot to wear them 
*Coffee is complimentary - PLEASE DO NOT BRING COFFEE

IF YOU ARE ORDERING YOUR OWN FOOD, PLEASE LET US KNOW EXACTLY HOW MANY TRAYS OF FOOD SO WE CAN PLAN PROPER TABLE SPACE and DELIVERY TIME

WHEN TO DROP OFF BIRTHDAY PARTY SUPPLIES

You will need to bring your party supplies on or before THE TUESDAY BEFORE YOUR PARTY between 10am-1pm: (party items drop-offs accepted only TUESDAYS– I have staff scheduled to do the drop offs for your supplies. It would be greatly appreciated if you could have everything ready for the TUESDAY before your party. I understand your work schedule and our work schedule may conflict, If you are having a problem with dropping off on that Tuesday, please let me know and we can arrange to have your drop off maybe the week before. We just need everything in a timely fashion.

PLEASE INFORM YOUR GUESTS OF THE FOLLOWING

1. Park in our private parking lot located directly behind the building, municipal parking lot, or on the street. Please DO NOT park in the lot on the side of our building 

2. Please ask EVERYONE TO WEAR GRIPPED SOCKS they will be asked to remove their shoes upon arrival 

3. NO STROLLERS OR GUM ALLOWED IN THE PLAY SPACE

WHEN TO ARRIVE TO YOUR PARTY

The family hosting the party is required to arrive 15 minutes before their party, NOT 30 MINUTES EARLIER. We try to provide the best service and arriving early will affect the flow of the way we manage parties. Our staff will also need to take a break between parties, please arrive 15 minutes before your party is scheduled, not earlier.

BAD WEATHER POLICY

If your child or your guest’s child is ill and has a vomiting episode during the party, for health and safety reasons, that child will need to leave the facility. So please, if your child is sick you may want to reschedule. As far as your guest, we will ask them to take the little one home to get the proper care he/she will need.

It is extremely important that everyone attending the party follow THE BIG PLAYHOUSE policies. If you or your refuse to comply, we will be forced to have that person or persons leave the facility immediately. 

1. Everyone, children and adults must remove their shoes before entering the play space SOCKS MUST BE WORN DURING THE WHOLE PARTY 

2. No strollers are allowed in the facility carriers and car seats are allowed 

3. There is no eating allowed in any of the play areas eating is only allowed in the gallery area 

For all parties during the winter months, please obtain a phone list from your guests just in case of inclement weather. If for any reason your party is canceled due to the weather, we will reschedule your party on the next available date. You must make the decision to reschedule no later than three hours before your party. If you decide to go ahead with your party and notice when you are driving that you can’t make it, you will forfeit your deposit towards my staffing. So it is very important to know if you can come in or not. If it is declared a STATE OF EMERGENCY we will not open.

HEALTH AND SAFETY

If for any reason the family becomes unruly or uncooperative during the process of the party or during the party The Big Playhouse has the rights to cancel all arrangements and the family forfeits their non-refundable deposit and maybe the security deposit depending on loss and damages. 

 

**Due to emergencies, power failures, or unforeseen illnesses, either party can cancel the celebration. The family will receive the non-refundable deposit, if The Big Playhouse cancels due to unforeseen circumstances (mentioned above).  If the facility is temporarily closed due to a Government mandate , no fault of the Business, Families can rescheduled their party for another date or the Business will offer a credit for the deposit, which can be used for Open Play, Special Events or Another Private Party.

If the family cancels, they will have the option to reschedule the party to another date/ time based on availability. If they cannot find a date/time suitable,  a credit to use for open play, special events, or another party.

I  HAVE READ THIS DOCUMENT AND ALL THE DETAILS OF THE PARTY, AND  UNDERSTAND IT. I FURTHER UNDERSTAND  THAT  BY  PLACING A DEPOSIT TO HOLD A SPOT FOR THE BIG PLAYHOUSE TO  HOST YOUR PRIVATE PARTY, I VOLUNTARILY AGREE WITH  THE CONTENT STATED IN  THIS DOCUMENT AND ALL THE INFORMATION AS IT RELATES TO THE BIRTHDAY PARTIES.
